When we started Långholmen Kajak in 2012, we managed all bookings manually with pen and paper. The challenges were many: avoiding double bookings, maximizing availability, handling rescheduling, and preventing no-shows. Managing bookings took up valuable time that we would have preferred to spend on our business.

We quickly realized the need to digitize the booking process to meet the increasing demand for kayak rentals. We searched for a booking system on the market that met our requirements for functionality, user-friendliness, and affordability, but found nothing that quite fit. Therefore, we decided to create our own booking system – BookSpot.

What was important to us were the fundamental features:

• Allowing customers to book and pay for their paddling tours online, in advance, via our website
• Ensuring the system has 100% inventory control and availability management
• Enabling the system to be used for both our rental and course operations
• Displaying all daily bookings neatly and easily in a booking manifest, facilitating daily planning
• The system should be cloud-based and accessible from all digital devices such as phones, tablets, and computers
• Facilitating quick and easy input of drop-in bookings into the system
• Allowing easy rescheduling and modification of bookings
• Providing comprehensive aggregated statistics on products and finances at the end of the season for data-driven decision-making for the next season.

Besides these fundamental features, we also wanted additional functionality to optimise our operations effectively:

• The system should be able to free up resources when a customer finishes their paddling tour earlier than expected.
• A customer should be able to initiate a booking at any time of the day and choose any rental duration.
• The customer should be able to change the date and time of their booking through their booking confirmation without contacting our staff.
• We should be able to easily work with upselling in the system.
• The system should be connected to OTAs (online travel agencies), allowing us to receive bookings from around the world via platforms like Get Your Guide, TripAdvisor, and others.
• It should be possible to measure how satisfied customers are after their visit to our facility.
